About the Role
We're looking for a highly organized, detail-oriented, and self-starting Administrative Support professional to provide calendar and administrative support to multiple function leads within our accounting organization, reporting into the team's Leadership Business Partner (LBP). Our team is scaling quickly, so this role calls for someone who can build reliable systems, use judgment to prioritize competing requests, and lean on AI tools to stay efficient across a high volume of scheduling and administrative work. This is a contract position focused on calendar management and administrative support, with some exposure to SOX-related administrative tasks. Responsibilities ● Manage and coordinate calendars for multiple function leads, resolving scheduling conflict and prioritizing time based on shifting business needs ● Build and maintain simple, reliable systems for tracking meeting requests, action items, and recurring scheduling needs across multiple leads ● Proactively identify and resolve scheduling conflicts, double-bookings, and last-minute changes ● Support light administrative tasks tied to SOX compliance processes (e.g., tracking documentation, coordinating sign-offs, maintaining records) as directed by the LBP ● Serve as a point of contact for multiple function leads on calendar-related questions and requests ● Use AI tools to streamline scheduling, communication, and administrative workflows You May Be a Good Fit If You: ● Are highly organized, with a proven track record building systems to manage multiple stakeholders' schedules in a fast-paced environment ● Are comfortable using AI tools to improve speed and accuracy in day-to-day work ● Thrive in ambiguity and adapt quickly as priorities and processes shift ● Have excellent attention to detail, follow-through, and discretion with sensitive information ● Communicate clearly and professionally with senior stakeholders ● Are comfortable working independently as a contractor, with minimal oversight once ramped up Strong Candidates May Also Have: ● Prior experience supporting multiple executives or leaders concurrently ● Exposure to SOX compliance processes or general familiarity with audit/compliance documentation ● Experience working in a rapidly growing or fast-scaling organization
