[Remote] Executive Assistant to CEO - Financial Services

Ascendo Resources is a dynamic and growing financial services organization seeking an experienced Executive Assistant to the Chief Executive Officer. This role involves providing high-level administrative, operational, and strategic support to the CEO, managing complex schedules, coordinating communications, and ensuring efficient execution of business activities.
Responsibilities
- Manage the CEO's complex calendar, scheduling meetings, conference calls, travel, and executive commitments
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting
- Prioritize incoming communications, emails, phone calls, and meeting requests while exercising sound judgment regarding urgency and confidentiality
- Prepare meeting agendas, presentations, reports, correspondence, and executive materials
- Maintain highly confidential information with the utmost professionalism and discretion
- Coordinate executive meetings, leadership meetings, and Board-related activities, including scheduling, logistics, meeting materials, and follow-up
- Prepare meeting minutes, action items, and executive summaries
- Track deadlines, deliverables, and strategic initiatives on behalf of the CEO
- Assist with special projects and cross-functional initiatives as assigned
- Serve as a liaison between the CEO and internal departments, clients, business partners, and external stakeholders
- Draft, proofread, and translate correspondence, presentations, and executive communications in both English and Spanish
- Facilitate communication between domestic and international teams to ensure alignment and timely follow-up
- Represent the CEO with professionalism and diplomacy in all interactions
Skills
- Minimum of 5 years of experience supporting a C-level executive, CEO, President, or senior leadership team
- Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously
- Outstanding written and verbal communication skills
- Demonstrated ability to maintain strict confidentiality and exercise sound judgment
- Strong problem-solving skills with a proactive, solutions-oriented mindset
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
- Experience coordinating domestic and international travel arrangements
- Ability to work independently while managing competing priorities in a fast-paced environment
- Professional demeanor with excellent interpersonal and relationship-building skills
- Fluent in both English and Spanish (spoken and written) is required
- Bachelor's degree in Business Administration, Communications, or a related field preferred
- Prior experience within banking, financial services, wealth management, investment management, or a highly regulated industry strongly preferred
