[Remote] Event Sponsorship Operations Coordinator

The Sponsorship Operations Specialist will manage sponsorship agreements, invoicing, payment tracking, and workflow administration across the company's global event portfolio, making it an ideal role for early-career professionals seeking to build expertise in this area.
Responsibilities
- Manage sponsorship agreements from approved proposal through contract execution, invoicing, payment collection, fulfillment tracking, and reconciliation
- Prepare and administer sponsorship agreements using approved templates, ensuring benefits, deliverables, pricing, and commercial terms are accurately reflected
- Create, distribute, and track sponsor invoices while monitoring payment status and collections
- Proactively monitor outstanding invoices, coordinate payment follow-up activities, and partner with Finance to reduce aging receivables
- Maintain complete, audit-ready sponsorship documentation, including contracts, invoices, approvals, and payment records
- Manage sponsorship workflows within Wrike, ensuring milestones, approvals, and deliverables remain on track
- Partner with Legal, Finance, Procurement, Marketing, and agency teams to support contract execution and sponsorship fulfillment
- Support revenue reporting, forecasting, reconciliation, and operational tracking activities
- Develop, document, standardize, and continuously improve operational processes, workflows, and governance processes to improve efficiency and scalability
- Support sponsorship team leads with sponsor fulfillment and program execution activities
Skills
- 2-5 years of experience in sponsorship operations, contract administration, project coordination, finance operations, revenue operations, or related disciplines
- Experience managing contracts, invoicing, payment tracking, collections, or financial administration processes
- Strong organizational, project management, and prioritization skills
- Excellent written and verbal communication skills with the ability to collaborate effectively across internal stakeholders and cross-functional teams
- Proficiency in Microsoft Excel, including VLOOKUPs, reporting, and data management
- Proficiency in Microsoft PowerPoint, including flowcharts, process documentation, and presentations
- Ability to work effectively across global teams and highly matrixed organizations
- Travel required up to approximately 5-10%, including domestic and international travel as needed
- Bachelor's degree in business, marketing, communications, finance, event management, or a related field preferred
- Experience with project management, event management, CRM, or financial systems (such as Wrike, RainFocus, Salesforce, or Fusion Applications) is a plus
- General understanding of accounting concepts, including accruals, expenses, invoicing, and revenue collection preferred
- Experience supporting sponsorship programs, partner marketing initiatives, conferences, or large-scale events is preferred
