[Remote] Cooperative Purchasing Contracts Administrator
Note: The job is a remote job and is open to candidates in USA. Hyland is looking for a detail-oriented and organized Cooperative Purchasing Contracts Administrator to join our team. In this role, you will support the administration of Hyland's global public sector cooperative contracting program across all levels of government, ensuring compliance and accuracy in contract management. Your responsibilities will include maintaining contract documentation, monitoring compliance, and delivering internal training.
Responsibilities
- Maintain procurement contract documentation and recordkeeping for assigned vehicles, ensuring records are complete, accurate, and updated in accordance with established processes
- Support pricelist update processes end to end for assigned procurement vehicles, including compiling required support documentation and coordinating submissions
- Track cooperative contract deadlines and key milestones for assigned vehicles; independently monitor renewal and extension timelines and coordinate routine follow-up actions in accordance with established processes
- Respond to general inquiries related to cooperative purchasing contract scope and pricing using established guidance; escalate non-standard requests appropriately and monitor customer and partner contract usage to support eligibility analyses for new customers
- Execute procurement vehicle compliance monitoring activities in accordance with established procedures; document results, follow up on routine items, escalate risks, and identify opportunities for incremental process improvements
- Draft and update standard operating procedures, internal training documentation, and resources for the public sector cooperative purchasing contracts team; support the delivery of internal training on procurement vehicles and compliance initiatives
- Support the delivery of internal training; draft training documentation and resources
Skills
- Bachelor's degree or equivalent experience, with 3+ years of experience as a Government Contracts Administrator and working knowledge of public sector procurement vehicles such as CMAS, GSA, OMNIA, OH STS, Sourcewell, TX DIR, etc
- Experience managing public sector CCS/GCA and NHS frameworks in the UK or whole of government panels in Australia; demonstrated ability to navigate contracts and identify relevant information
- Experience managing contract pricing and drafting or approving contract quotes to ensure compliance with negotiated pricing terms
- Proficiency in Microsoft Office Applications including Advanced Microsoft Excel; familiarity with contract management and recordkeeping systems
- Strong organizational, multi-tasking, and time management skills with the ability to thrive in a fast-paced, deadline-driven environment; up to 5% travel time required
- Strong oral and written communication skills reflect a professional demeanor and the ability to interact with others with discretion and tact
- Excellent collaboration and interpersonal skills applied successfully within teams and across the organization; effective at establishing rapport and gaining consensus
