Role Overview The Remote Bilingual Scheduler & Biller serves as the first point of contact for all clients, families, and referral sources. This role ensures timely, professional, and compassionate communication, manages new client scheduling, oversees referral and waitlist processes, coordinates paperwork, and completes insurance verification. Success in this role requires consistent responsiveness, accuracy in data entry, and excellent communication skills in both English and Spanish.
Key Responsibilities
Client Communication & Responsiveness
- Serve as the welcoming and knowledgeable first point of contact for all clients, families, and providers.
- Answer incoming calls during business hours with a minimum 90% live answer rate.
- Return voicemails within the same business day and respond to emails within one business day.
- Provide clear and accurate information about services, processes, and scheduling.
- Send appointment confirmations, instructions, parking details, and any necessary forms.
Referral Processing & Follow-Up
- Create and maintain accurate client records in Simple Practice (SP), including demographics, language needs, and referrer details.
- Follow the three-call outreach protocol over three weeks before archiving unresponsive referrals.
- Track all communication attempts in both SP and the practice’s referral tracker.
Scheduling & Waitlist Management
- Schedule intake and evaluation appointments based on clinician availability.
- Coordinate rescheduling needs, including no-shows and cancellations.
- Maintain and manage the waitlist to ensure timely appointment offers.
Documentation & Organization
- Maintain organized digital files, ensuring referrals are stored in the correct date-labeled format.
- Ensure accurate and consistent use of the referral tracker, waitlist tabs, and administrative notes.
Billing & Insurance Support
- Assist with client billing processes, including preparing invoices and collecting payments
- Verify insurance benefits when applicable and communicate coverage information to families
- Support claims submission and track outstanding claims as needed
- Respond to client questions regarding billing, fees, and payment policies
- Maintain accurate billing documentation within the practice management system
- Coordinate with clinicians and administrative leadership regarding billing updates or concerns
Qualifications
- Bilingual (English & Spanish) – fluent in speaking, reading, and writing.
- Experience working in a medical, behavioral health, or healthcare administrative setting preferred
- Experience with medical billing, insurance verification, or healthcare billing systems preferred
- Strong organizational skills and ability to manage multiple priorities in a fast-paced environment
- Experience with electronic scheduling or medical record systems (SimplePractice experience a plus)
- Strong written and verbal communication skills
- Proficiency with Microsoft Office Suite
- Ability to maintain confidentiality and adhere to healthcare privacy standards
- Reliable internet connection and quiet workspace for client calls.
