About the Role
We are seeking a polished and highly organized Executive Assistant / Administrative Support professional to provide high-level support to leadership while assisting with travel coordination, client communication, content updates, and daily operations. The ideal candidate has experience supporting executives, managing premium client experiences, and handling multiple priorities with professionalism and discretion. This role is perfect for someone who enjoys structure, anticipates needs, and delivers excellent service behind the scenes.
Key Responsibilities
Executive & Administrative Support Manage calendars, appointments, reminders, and daily schedules. Handle inbox management, follow-ups, and general executive support tasks. Maintain organized records, trackers, and digital filing systems. Assist with ad hoc administrative and operational requests. Travel & Client Coordination Manage travel bookings, itineraries, invoicing, and VIP client amenities. Communicate with hotels, concierge teams, and vendors regarding client requests. Send pre-arrival, itinerary, and follow-up emails to clients and partners. Ensure a seamless and high-touch client experience throughout travel coordination. Marketing & Content Support Create social media posts using Canva or similar tools. Assist with updating travel guides, client resources, or website content. Draft and schedule newsletters through email marketing platforms. Support basic blog and content updates in WordPress or similar systems. Qualifications & Requirements Proven experience as an Executive Assistant, Administrative Assistant, Travel Coordinator, or Luxury Hospitality professional. Strong organizational, multitasking, and time-management skills. Excellent written and verbal communication skills. Comfortable interacting with 5-star hotels, luxury brands, and high-net-worth clients. Experience with social media, newsletters, and content updates. Ability to work independently while maintaining confidentiality and professionalism. Interested in long-term executive support rather than becoming a travel agent. Enjoys creating order and supporting busy leadership teams. Additional Requirements Must be currently residing in the Philippines or Latin America. Must have a stable internet connection and a remote-ready workstation.
