Conference and Events Coordinator
Job Description:
- Coordinate logistics for conferences and events, including registrations, hotel reservations, exhibition space logistics, materials management, giveaways, transport, and occasional onsite support.
- Support planning and execution of client events held in conjunction with conferences.
- Assist with scheduling and coordination of conference planning meetings, interim check-ins, and post-event debrief sessions.
- Maintain conference coordination checklists, timelines, and task trackers to ensure accurate and timely delivery of event activities.
- Support setup and management of event collaboration spaces (e.g., Microsoft Teams channels).
- Coordinate exhibition and event materials, including booth assets, furniture, signage, roll-ups, and related logistics.
Requirements:
- Bachelor’s degree in Marketing, Communications, Business Administration, or a related field.
- Minimum 2 years of experience coordinating events, conferences, or large meetings in a corporate, agency, or professional services environment, with healthcare/life sciences preferred.
- Prior experience coordinating with vendors.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and comfort working with structured processes, templates, and checklists.
- Effective written and verbal communication skills.
- Ability to collaborate effectively across multiple teams and stakeholders.
