Transactions Coordinator - Part Time

Thomas James Homes is a company focused on real estate transactions, and they are seeking a Transactions Coordinator. This role supports the Transactions Manager and Director by assisting with the administrative, coordination, and documentation aspects of real estate transactions to ensure they move efficiently through the transaction lifecycle.

Responsibilities

  • Provide transaction support to the Transactions Managers for property acquisitions, refinances, and dispositions from contract through closing
  • Assist with the preparation, organization, and maintenance of transaction files, by uploading required documentation and updating key information within HB1 and SharePoint
  • Coordinate with title, escrow, lenders, internal teams, and other stakeholders to provide and/or obtain required documents and information
  • Assist with the review of contracts, escrow instructions, title reports, loan documents, and closing statements for completeness and accuracy
  • Proactively communicate status updates, issues, and potential challenges to the Transactions Managers as appropriate
  • Support department processes by following established policies and procedures and assisting with updates as needed
  • Collaborate with internal departments including Construction, Finance, Legal, Sales, and Corporate teams
  • Assist with resolving transaction-related issues by coordinating information and documentation among stakeholders
  • Provide coverage and administrative support for Transactions Managers as needed Skills
  • High school diploma required
  • 1-2 years of experience in real estate transactions, escrow, title, or homebuilding operations preferred
  • Bachelor's degree in Business, Real Estate, or related field preferred
  • Familiarity with residential purchase agreements, disclosures, and closing processes
  • Experience with CRM systems and transaction management software (e.g., Salesforce, Dotloop, BuildPro, or similar)
  • Certified Notary Public preferred not required
  • Exposure to acquisitions, refinances, or new home construction transactions preferred Company Overview
