How You Will Make an Impact The School Coordinator is responsible for overseeing, organizing, and coordinating education programs, ensuring the efficient and effective delivery of educational services, supporting students, teachers, and parents. This role involves managing administrative processes, coordinating with various departments, and implementing policies and procedures to enhance the educational experience for students and staff. This position acts as a liaison between school staff and school administration, ensuring that educational goals are met while addressing any logistical or operational concerns. This role may involve both administrative and academic responsibilities, depending on the school's needs. This position reports to the Head of School or designee. Serve as first point of contact by answering telephones, chat messages, text messages, and emails Provide information and assistance on referring students, staff, and the public to others based on level of knowledge Communicate with students/families via phone, text and email with exceptional customer service skills and solid program knowledge Process new student enrollments Develop and document processes to create operational efficiencies

  • Accurately input student information into the Student Information System (SIS) including immunizations, enrollment dates, payment information, supervising teachers, and finalized student grades.

Provide quality customer service Ability to manage multiple high-priority activities concurrently that require considerable coordination and follow through to meet requirements

  • Always maintain student confidentiality

Attend meetings and training when available Support school leadership with creating standard operating procedures and guides for staff Schedule all academic assessments, including NWEA Coordinate with Academic Coaches during the onboarding of new students Perform basic registrar duties such as providing proof of enrollment, processing leave of absences, work permits, calculating GPAs, course waivers, fulfilling transcript requests and other duties Support Academic Coaches and the Head of School with organization of electronic school filing system Coordinate requests across the entire organization Act as the primary bridge between the instructional and operational sides of the school Set up students, teachers and basic course settings in UC Scout, including weighting and final exam passwords Perform administrative duties, responsibilities, and activities as assigned, which may be changed or modified from time to time. QualificationsKNOWLEDGE, SKILLS, ABILITIES Knowledge and understanding of laws, regulations, policies, and procedures relevant to the area of employment. Knowledge and understanding of the Organization’s culture, business units, services, and products. Ability to interpret and apply laws, regulations, policies, and procedures. Ability to understand, analyze, and explain mathematical rules and equations used for data analysis. Ability to prioritize work, excellent organizational skills, and initiative to improve processes. Ability to handle multiple competing assignments and deadlines while being flexible and adaptable. Ability to work in team environments and with multiple levels of personnel. Self-sufficient, resourceful, and committed to providing excellent customer service. MINIMUM QUALIFICATIONS High School Diploma or General Education Diploma Degree is required. Experience in project coordination, organizing, and prioritizing is a plus. Strong organizational, communication, and leadership skills. Proficiency in educational software and administrative systems and MS Office (word, Excel, Outlook). Knowledge of school policies, regulations, and curriculum standards. Ability to perform job duties with minimal supervision, dependability, high quality, and quantity required. Ability to travel in performance of job duties required. PHYSICAL REQUIREMENTS Vision: Ability to read small print and view a computer screen for prolonged periods, prepare, or inspect documents and operate office equipment. Hearing: Ability to hear average or typical conversations and receive ordinary information. Speech: Ability to be understood in face-to-face communication, in person or remote, to speak with a level of proficiency and volume to be understood over a telephone or computer. Mental Demands: Ability to read, write, understand, interpret, and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Frequent multi-tasking, changing of task priorities, repetitious exacting work. Understand how to manage stress, high workflow management, high project coordination, and high people engagement. Upper Body Mobility: Ability to use fingers to make small movements such as typing, picking up small objects, or pinching fingers together, use hands to grasp, and manipulate small objects; twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head. Strength: Ability to lift, carry, push, and pull objects weighing up to 10 pounds. Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors. Prolonged periods sitting at a desk and working on a computer. Work in a moderate to high noise environment with frequent deadline pressures.
