[Remote] Talent Acquisition & HR Operations Lead
Note: The job is a remote job and is open to candidates in USA. iAdeptive Technologies is looking for an experienced Talent Acquisition & HR Operations Lead to drive their hiring engine and manage the full employee lifecycle. This role involves hands-on recruiting, HR operations management, and ensuring compliance while fostering a people-first culture.
Responsibilities
- Own full-cycle recruiting — source, screen, coordinate interviews, and drive candidates to offer and close across technical and corporate roles
- Build and maintain sourcing pipelines and talent pools to fill priority openings quickly and reduce time-to-hire
- Partner with hiring managers and leadership to scope roles, calibrate candidates, and run an efficient, high-quality hiring process
- Manage the applicant experience end-to-end — job postings, scheduling, candidate communication, and offer negotiation
- Track and report recruiting metrics (pipeline, time-to-fill, source effectiveness)
- Manage the end-to-end employee lifecycle — onboarding, offboarding, I-9/E-Verify, and personnel records
- Coordinate offer letters, employment agreements, background checks, I-9 verification, and E-Verify processing
- Conduct and support exit interviews, termination documentation, and separation processes
- Serve as primary HR point of contact for employee relations, workplace concerns, and policy interpretation
- Support disciplinary documentation, issue escalation, and performance improvement plans (PIPs) in coordination with leadership
- Handle investigations and terminations with discretion and proper documentation
- Administer FMLA, ADA, COBRA, EEOC, DOL, and multi-state employment law compliance, including wage-and-hour regulations
- Oversee I-9 and E-Verify compliance, conduct internal audits, and maintain audit-ready documentation
- Maintain confidential personnel files and compliance records per federal and state record-retention requirements
- Maintain policy acknowledgments, employment letters, and separation agreements
- Maintain HRIS data integrity through regular audits, reporting, and compliance monitoring
- Develop and maintain HR SOPs, process documentation, and operational workflows
- Generate workforce and compliance reports to support leadership decision-making
- Support biweekly timesheet approval and submission in QuickBooks TSheets — review hours and PTO balances prior to payroll
- Coordinate with payroll and accounts teams on timesheet validation, approval, and reconciliation
- Manage annual W-2 distribution
- Coordinate employee benefits programs including medical, dental, vision, COBRA, and 401(k)
- Coordinate annual open enrollment with the benefits broker
- Ensure timely 401(k) contribution remittance and process enrollment for new hires
- Distribute annual 401(k) required plan notices
- Coordinate annual Form 5500 filing and support 401(k) non-discrimination testing (ADP/ACP) with the Third Party Administrator
- Manage workers' compensation and unemployment claims
Skills
- 5+ years of full-cycle recruiting / talent acquisition experience — sourcing through offer and close
- 5+ years of progressive HR operations, generalist, or specialist experience
- Strong knowledge of federal and multi-state employment law
- Proficiency in Microsoft Office Suite, QuickBooks TSheets, applicant tracking systems (ATS), and HRIS platforms (Gusto or equivalent)
- Excellent documentation, communication, and organizational skills
- Bachelor's degree in Human Resources, Business, or a related field
- PHR, SHRM-CP, or equivalent HR certification
- Experience in technology or IT services environments
