In this role, you will be the backbone of our litigation and corporate practice groups, ensuring that case files, contracts, and discovery materials are organized, compliant, and delivered on time. Reporting directly to the Senior Litigation Manager, you will partner with attorneys, law clerks, and external counsel across three time zones, helping to translate complex legal requirements into clear, actionable deliverables. Our mission is to provide world‑class legal services to our clients while fostering a collaborative, remote‑first culture that values autonomy, continuous learning, and work‑life harmony for professionals living in New York, New York. --- Key Responsibilities - Case Management & Calendaring Maintain and update case calendars in Clio and MyCase, tracking deadlines, court dates, and filing requirements with 99% accuracy. - Document Production Draft, proofread, and file pleadings, motions, and discovery requests using Microsoft Office 365 and Adobe Acrobat Pro, ensuring compliance with local and federal rules. - Legal Research Conduct statutory, case law, and procedural research via Westlaw and LexisNexis, delivering concise memoranda to attorneys within 48 hours of request. - E‑Discovery Coordination Upload, tag, and index electronic evidence in Relativity (or similar platforms) and manage secure file transfers through Dropbox Business. - Client Communication Serve as the primary point of contact for client inquiries, summarizing case status and next steps in clear, professional language. - Billing & Timekeeping Accurately record billable hours and expense entries in QuickBooks Online, supporting a 95% on‑time invoicing rate. - Compliance & Records Retention Monitor and enforce document retention policies, performing quarterly audits to guarantee 100% compliance with ethics rules and data‑privacy regulations. - Team Collaboration Participate in cross‑functional stand‑ups and case‑specific strategy sessions on Slack and Zoom, contributing insights that improve workflow efficiency. - Process Improvement Identify bottlene‑points in existing procedures and propose automation solutions using Asana or Jira, aiming for a minimum 15% reduction in turnaround time per deliverable. - Mentorship & Training Onboard new legal assistants and law clerks, sharing best practices for docket management, document assembly, and virtual collaboration. --- Required Qualifications - Associate’s degree in Paralegal Studies or a Bachelor’s degree with a paralegal certificate; JD‑paralegal hybrid is a plus. - 3–5 years of experience as a paralegal, legal assistant, litigation paralegal, or corporate paralegal supporting attorneys in a law firm or in‑house legal department. - Proven proficiency with Clio, MyCase, Westlaw, LexisNexis, Microsoft Office 365, Adobe Acrobat Pro, Slack, and Zoom (minimum 2 of these tools must be used daily). - Strong organizational skills with a track record of managing at least 15 concurrent matters while meeting strict deadlines. - Exceptional written and verbal communication abilities; must be able to translate complex legal concepts for clients and internal stakeholders. - High‑speed broadband (minimum 100 Mbps download) and a dedicated, private workspace that meets confidentiality standards. --- Preferred Qualifications - Certified Paralegal (CP) or Advanced Certified Paralegal (ACP) designation. - Experience with Relativity, eDiscovery Insight, or similar e‑discovery platforms. - Background in corporate governance, M&A transactions, or intellectual‑property litigation. - Demonstrated leadership experience, such as supervising a junior legal support staff or leading a remote project team. - Familiarity with Jira or Asana for workflow automation and task tracking. - Prior work in a fully remote or hybrid law firm environment, especially serving clients nationwide. --- Compensation & Benefits - Salary $62,000 – $78,000 annually, commensurate with experience and certifications. - Health & Welfare Medical, dental, and vision coverage with employee‑pay‑only premiums for the first dependent. - Retirement 401(k) plan with a 4% company match. - Paid Time Off 20 vacation days + 10 paid holidays; flexible floating holidays for local observances in New York. - Remote Stipends $150 / month for coworking space or home‑office upgrades in New York, plus an annual $1,200 technology allowance (covers monitors, headsets, or ergonomic furniture). - Professional Development $2,500 yearly education budget for certifications, conferences (including the ABA annual meeting), or legal research subscriptions. - Wellness
