[Remote] Lead Customer Service Representative (Remote-MN)
Note: The job is a remote job and is open to candidates in USA. Permanent Choice Laser Hair Removal & Cosmetic Centers is a trusted name in laser hair removal and electrolysis since 1991. They are seeking a Lead Customer Service & Clinic Administrator to guide their administrative team, oversee projects, and ensure effective communication between clients and the clinic operations leadership.
Responsibilities
- Lead the administrative team (of two), providing day-to-day guidance, direction, and support
- Oversee projects and initiatives, keeping them organized, tracked, and completed on time and to standard
- Coordinate workload across the administrative team, distributing tasks and ensuring clear communication and follow-through
- Serve as the point of contact between the administrative team and the Clinic Operations Director, escalating issues and recommending solutions
- Support onboarding, training, and development of administrative team members
- Identify opportunities to improve processes, consistency, and efficiency across the team
- Be a knowledgeable first point of contact for clients by phone, text, and email, and guide them through consultations on hair removal, electrolysis, and broadband light services
- Schedule and manage appointments in our booking system (MyTime)
- Coordinate communication between clients and technicians
- Handle payments, refunds, voids, and receipts accurately
- Fulfill prescription requests and coordinate communication between pharmacy and client
- Follow up with prospective clients and make appointment confirmation calls
- Manage and organize email communications, and help cover phone shifts as needed

- Comfortable on the phone and with email/scheduling software

- A reliable home workspace and internet connection
- High school diploma or GED
- Must reside in Minnesota
- Prior administrative, customer service, or team lead experience preferred
