[Remote] Customer Service & Operations Coordinator

Summit Agro USA is focused on bringing innovative crop protection products to market, and they are seeking a Customer Service & Operations Coordinator. This role serves as the primary point of contact for customer orders and vendor coordination, working closely with multiple departments to ensure timely order fulfillment and exceptional customer service.
Responsibilities
- Serve as the primary contact for customer inquiries regarding orders, product information, pricing, shipment status, and account support
- Process and manage customer sales orders from entry through fulfillment
- Coordinate with warehouses and logistics partners to ensure timely and accurate deliveries
- Maintain accurate order records and supporting documentation
- Resolve customer issues and escalate complex matters when appropriate
- Support Sales and Marketing teams with customer communications, meeting coordination, and administrative activities
- Create, manage, and track purchase orders
- Coordinate with suppliers regarding product availability, pricing, order status, and delivery schedules
- Maintain organized purchase order files and supporting documentation
- Assist with supplier performance tracking and ongoing vendor relationship management
- Support contract administration and supplier communications as needed
- Monitor production schedules, inbound shipments, and inventory levels to ensure product availability
- Serve as a liaison between internal teams, suppliers, warehouses, and logistics providers
- Partner with Regulatory, Quality, and Marketing teams to ensure compliance with labeling, specification, and documentation requirements
- Assist in identifying process improvements that enhance operational efficiency and customer satisfaction
- Submit and track vendor invoices to ensure timely payment
- Support invoice reconciliation and related recordkeeping activities
- Maintain accurate operational records and reports
- Assist with administrative projects and departmental initiatives as assigned
- Support inventory monitoring and reporting activities
- Coordinate and participate in annual physical inventory counts
- Assist with inventory investigations and reconciliation efforts when necessary
Skills
- Bachelor's degree preferred or equivalent professional experience
- 3-5 years of experience in customer service, operations, order management, supply chain support, or a related field
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Strong attention to detail and accuracy
- Proficiency in Microsoft Excel and Microsoft Office Suite
- Experience with ERP systems, order management platforms, or inventory management software
- Experience working with suppliers, warehouses, or logistics providers
- Background in consumer goods, manufacturing, or distribution environments
- Experience in the agriculture industry is a huge plus
