JOB DESCRIPTION Position: Quality Assurance/ISO 9001 Fellow Reports To: VP, Human Resources/Quality Management Representative (or designee) Location: Lubbock, TX - Hybrid or Remote Salary/Hourly Rate: Hourly, paid fellowship rate; commensurate with experience H&W Rate: N/A – NonSCA corporate/internal role FLSA Status: Non-Exempt Type: Full-Time or Part-Time Fellowship/Internship Temp-to-Perm (Potential) Job Summary: IBEX IT Business Experts is seeking a Quality Assurance/ISO 9001 Fellow to support the continued maturity, business alignment, and modernization of IBEX’s Quality Management System (QMS). This paid fellowship is designed for a current student, recent graduate, career changer, veteran, or experienced professional with an interest in quality assurance, ISO 9001, process improvement, internal auditing, documentation, and operational excellence. The Fellow will help strengthen IBEX’s ISO 9001 program by reviewing existing procedures, mapping business processes, developing and improving SOPs, supporting document control, preparing audit-ready records, tracking corrective actions, and helping align the QMS with how IBEX actually operates across IT consulting, training, staffing, SaaS-enabled solutions, government contracting, and commercial client delivery. Key Responsibilities: Support the ongoing improvement and maintenance of IBEX’s ISO 9001 Quality Management System, including policies, SOPs, forms, work instructions, process maps, templates, and quality records. Review existing QMS documentation and recommend updates to better reflect current IBEX operations, client requirements, technology-enabled workflows, and business priorities. Assist with documenting, organizing, and standardizing business processes across HR, recruiting, training, contracts, client delivery, project support, sales operations, and corporate administration, as assigned. Draft, edit, format, and maintain SOPs, job aids, process narratives, checklists, forms, flowcharts, and related quality documentation using IBEX-approved templates and document control practices. Support ISO 9001 document control activities, including version history, ownership, approval routing, document naming conventions, repository organization, and periodic review schedules. Assist in aligning QMS processes with ISO 9001:2015 requirements, including the 2024 climate action amendment and emerging expectations for risk-based thinking, operational control, performance evaluation, continual improvement, and business resilience. Help identify process gaps, duplication, outdated practices, unclear handoffs, missing evidence, and opportunities to simplify or automate quality-related workflows. Support internal audit preparation, evidence collection, audit checklists, interview preparation, audit notes, findings documentation, and follow-up activities. Assist with corrective action and continual improvement tracking, including root cause documentation, action plans, assigned owners, due dates, status updates, and verification of effectiveness. Support quality metrics and management review preparation, including KPI tracking, customer feedback, nonconformities, audit results, process performance, risk/opportunity updates, supplier or partner quality inputs, and improvement initiatives. Collaborate with process owners to understand how work is actually performed and translate that knowledge into clear, practical, audit-ready documentation. Support development of training materials and communications that help employees understand quality expectations, SOP changes, document control responsibilities, and ISO 9001 program requirements. Maintain confidentiality and protect IBEX, employee, client, contract, and proprietary information in accordance with company policies and applicable legal, contractual, and security requirements. Participate in regular check-ins with the supervisor or assigned mentor to review priorities, deliverables, learning objectives, and quality improvement progress. Learning & Development Objectives: Build practical experience in ISO 9001 quality management, process documentation, audit readiness, corrective action, and continual improvement. Develop the ability to translate operational practices into clear SOPs, process maps, checklists, and quality records. Gain exposure to quality program governance in a GOVCON, IT services, training, staffing, and SaaS-enabled business environment. Strengthen professional skills in interviewing process owners, asking clarifying questions, organizing evidence, managing deadlines, and presenting recommendations. Contribute to a QMS that is practical, business-aligned, employee-friendly, client-ready, and capable of supporting scalable growth. Qualifications: Current enrollment in or completion of a program in Quality Assurance, Quality Management, Industrial/Organizational Psychology, Business Administration, Industrial Engineering, Operations Management, Project Management, Information Systems, Human Resources, Organizational Leadership, or a related field preferred; equivalent work experience will be considered. ISO 9001 coursework, certification exposure, internal audit experience, quality documentation experience, or hands-on QMS experience strongly preferred. Prior experience writing SOPs, work instructions, process maps, training materials, or business documentation preferred. Strong proficiency in Microsoft Office, SharePoint, Teams, and online software applications. Experience with Visio, Lucidchart, Smartsheet, Power BI, Paycom, Procas, Costpoint, CRM tools, or document control systems is helpful. Excellent organizational, time management, critical thinking, analytical, and follow-through skills. Ability to manage multiple documentation priorities while maintaining accuracy and version control. Strong written and verbal communication skills, including the ability to ask process-oriented questions, clarify ambiguity, summarize findings, and write in a clear, professional, and user-friendly manner. Comfort working with confidential business, HR, client, contract, and quality records. Ability to work independently while also accepting coaching, feedback, and direction from leadership, process owners, and assigned mentors. Detail-oriented, curious, process-minded, and comfortable identifying gaps, inconsistencies, and improvement opportunities in a constructive manner. Must have current U.S. work authorization. Exposure to Lean, Six Sigma, ASQ, ISO internal auditor training, root cause analysis, 5 Whys, process mapping, CAPA, or continuous improvement methodologies. Interest in building a career in quality assurance, ISO management systems, compliance, operational excellence, HR operations, business process improvement, or consulting. Success Measures: Produces clear, accurate, practical, and audit-ready SOPs, process maps, forms, checklists, and related documentation.
