Leasing Administrator
Position Summary: Performs duties of portfolio database management and rent administration as directed by the Account Manager. ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Primary focus is portfolio database management and rent administration
- Implements initial processes and updates of new leases, renewals, amendments, and any other documentation impacting lease related obligations.
- Ensures accuracy and integrity of data and supporting documentation.
- Reviews each document to determine nature – lease, sublease, owned property, etc.
- Reviews critical data – parties’ names and addresses, along with dates, rents, options – as agreed upon in contracts between Scribcor and Scribcor clients
- Review monthly invoices received from landlords on client’s behalf and process appropriately
Additional Duties & Responsibilities:
- Review operating expense provisions real estate leases
- Receive, record and review expense reconciliation statements from landlords
- Review audit right language contained in the leases
- Verify calculation of base year expenses and any cap or stop identified in the lease terms
- Verify the calculation of pro rata share and gross-up calculations
- When applicable, apply sublease payments to accounts receivable and follow up on tenant delinquencies
- Forward to Account Manager for review
- Function efficiently in chosen lease administration software platform
- Maintain client confidence and protect operations by keeping all lease information confidential
- Interface with client team lease administrators, legal and finance team members as directed by Account Manager
Qualifications: List the minimum level of education and experience required to perform the work at the entry level of the job.
- Bachelor’s degree in related field OR equivalent combination of education and experience.
- 2+ years of commercial lease administration, property management, or property accounting experience
- Understanding and familiarity of commercial real estate leases, familiarity with operating and audit provisions in real estate leases

- Excellent written, verbal and interpersonal communication skills.
- Strong organizational and analytical skills.
- Advanced experience with MS Excel, Lotus Notes, PowerPoint and or similar programs
- Must be able to effectively handle multiple projects simultaneously in a deadline driven environment.
- Ability to work independently and as part of a team and take on new tasks with high level of difficulty.
- Must be highly pro-active, motivated and diligent.
