Description Job Title: Administrative Assistant Location: Remote, Must reside in the United States. Reports to: VP of Operations Part-time position, (Required times: PST: 6AM/7AM - 10AM/11AM, CST 8AM - 12PM , EST 9AM/10AM - 1PM/2PM) About Us: Ignite Learning Academy (ILA) is an accredited, fully online K-12 school dedicated to providing high-quality, personalized education for students nationwide. Job Summary: Ignite Learning Academy, an online private K-12 school, is seeking a dedicated and organized Administrative Assistant to join our team. This role combines receptionist duties, enrollment responsibilities, and registrar functions, providing essential support to our school community. The ideal candidate will be friendly, detail-oriented, and able to manage multiple tasks in a dynamic school environment.

Key Responsibilities

Receptionist Duties: Serve as the first point of contact for students, parents, staff, and other callers. Answer and direct phone calls, respond to emails, and handle general inquiries. Enrollment Duties: Assist families with the enrollment process, including answering questions, providing information, and guiding them through required documentation. Promptly respond to inquiries from prospective families seeking more information about the school, its programs, and enrollment procedures. Provide accurate and helpful information via phone, email, and virtual meetings, ensuring a positive and informative experience for all contacts. Maintain accurate records of student enrollment, including applications, transcripts, and other related documents. Coordinate and participate in virtual open houses, and other events related to student recruitment and retention. Communicate with prospective families, providing updates on the status of their applications and enrollment. Registrar Duties: Maintain and update student records, including grades, and other academic information in the school’s database. Prepare and distribute official transcripts, report cards, and other academic documents as requested. Ensure compliance with state and federal regulations regarding student records and confidentiality. Assist with the scheduling of classes, updating course catalogs, and managing student course registration. Key Competencies: Friendly and welcoming demeanor. Requirements

Qualifications: Associate's degree or equivalent number of credits Previous experience in an administrative role, preferably within a school or educational setting. Excellent communication and interpersonal skills. Strong organizational abilities with attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with school management software. Ability to handle sensitive information with confidentiality and professionalism. Ability to multitask and prioritize in a fast-paced environment.
