ECM Senior Document Specialist
Overview
The ECM Senior Document Specialist supports enterprise content management operations by performing document imaging, classification, and indexing activities to ensure accurate, timely, and efficient document retrieval. Serves as a resource to end users by resolving scanning and taxonomy-related issues while maintaining high standards of quality, accuracy, and service.
Responsibilities
Document Imaging & Processing Perform daily scanning, indexing, and classification of documents based on established priorities Prepare and stage incoming documents for processing in accordance with procedures Operate data capture systems to accurately import and file documents within the retention system Quality Control & Documentation Maintain logs for issues, resolutions, and quality control tracking Ensure accuracy, completeness, and consistency of document indexing and storage Monitor scanning quality and take corrective actions as needed End User Support & Communication Communicate with end users to resolve scanning and document retrieval issues Provide guidance on taxonomy, scanning processes, and system usage Build effective working relationships to support service excellence Workflow & Process Alignment Stay current on taxonomy updates and adjust workflows accordingly Ensure adherence to evolving procedures and operational standards Support continuous improvement in document management processes Team Support & Operational Flexibility Assist team members and contribute to overall departmental workload as needed Support cross-functional collaboration to achieve operational goals Perform additional duties aligned with team and organizational needs
Qualifications
High School Diploma or equivalent required. Minimum of two (2) years of relevant experience in document processing, records management, or a related operational environment. Experience with document retention or document management systems preferred. Prior experience within a financial services or banking environment preferred. Demonstrated ability to work effectively in a fast-paced, production-oriented environment. Strong attention to detail with a proven commitment to accuracy and quality. Effective interpersonal and communication skills with the ability to collaborate across teams. Ability to work independently with minimal supervision. Strong technical aptitude and hand-eye coordination for operating document processing equipment.
