Administrative Coordinator II (Hybrid) - Academy of Educators

Scheduled Hours 40 Position Summary This position provides support to Academy Director and programs housed within the Academy of Educators (AoE), reporting to the Manager of Administrative Services for the Office of Education. These programs include membership selection, faculty development workshops and courses, scholarship opportunities and awards/recognition. The AoE also serves as an important liaison for WashU Medicine, the affiliate hospitals, undergraduate medical education, graduate medical education, continuing medical education, the Collaboration for Interprofessional Education, and volunteer faculty who contribute to the educational mission of the school, departments and programs.

Job Description

Primary Duties & Responsibilities: Perform project management to ensure all AoE programming/membership/awards is planned and implemented efficiently and effectively. This includes creation and maintenance of timelines, action items completed by assigned due dates, collaboration with program leads to identify scope and vision, evaluation of what worked well and areas for improvement for continuous quality improvement. Coordinate and implement AoE programming/membership/awards. This includes planning, scheduling, ordering, communication, A/V, website updates, agenda setting, PPT creation, leading meetings as assigned and supporting leadership as determined via scope and vision. Plan events for AoE. This includes Education Day, Teachfest Royale, Speed Mentoring/ Networking, social events, and one-off events. Collaborate and coordinate with internal and external stakeholders, as well as assist with booking, ordering, payment, budget tracking and travel arrangements. Assist with program evaluation and basic level data analysis. This includes survey creation, tracking and compilation of data for AoE programs, membership applications and awards. Collaborate with Academy stakeholders to ensure appropriate data collection for continuous quality improvement. Perform administrative duties to assist the AoE in running streamlined processes. This includes maintenance of the standard operating procedures manual, using the project management software to maintain accurate status on all projects, co-creation of reports as needed, tracking of various data, such as program attendance, organizing and maintaining the Box file system, and other organizational and functional practices as needed.
